We handle personal information in accordance with the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs) and our contractual obligations, including obligations relating to Australian Government work.

Personal information we collect
We collect personal information reasonably necessary for our business, recruitment, contracting, workforce management, screening and government service activities. This may include:

communication records, including emails, call records, SMS, instant messages and other correspondence with us;

client, supplier and partner contact information, including company name, ABN, role title and business contact details;

We may collect sensitive information where necessary, including criminal history, health information, nationality, citizenship, government vetting information or other information required for screening, work health and safety, legal, contractual or security purposes.
We only collect sensitive information where you consent, where it is reasonably necessary for our activities, or where collection is required or authorised by law, contract or government process. We handle tax file numbers only where permitted for taxation, payroll, superannuation or related lawful purposes.
How we collect personal information
We usually collect personal information directly from you, including through application forms, onboarding documents, contracts, emails, interviews, phone calls, messages, timesheets, screening forms and security-clearance processes.
We may also collect personal information from referees, clients, Australian Government agencies, prime contractors, subcontractors, recruitment platforms, background-screening providers, identity-verification providers, publicly available sources, professional networking platforms and professional advisers, where lawful and appropriate.
For workforce screening, we may use screening providers, disclosed in our workforce screening consent agreement.

Who we disclose personal information to
We collect, use and disclose personal information to:

screening, vetting, identity-verification and background-check providers;

referees, recruiters, lawyers, accountants and other professional advisers;

payroll, accounting, banking, insurance, superannuation, IT, cloud and business service providers;

auditors, regulators, law enforcement bodies and courts;

other parties where required or authorised by law, contract, government process or your consent.
If you do not provide information we reasonably request, we may be unable to assess your suitability, engage you, place you on a client or government contract, maintain your clearance or provide services to you.
We do not sell personal information.
Security, storage and retention
We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification and disclosure. These steps may include access controls, confidentiality obligations, encryption, staff training, audit controls and more.
We primarily store personal information in Australia where practicable. Some IT, cloud, support or screening providers may process or access information from overseas.
We retain personal information for as long as needed for the purposes described in this policy, including recruitment, employment, contracting, legal, audit, security-clearance, government-record and contractual purposes. When information is no longer required, we take reasonable steps to destroy or de-identify it where lawful and practicable.
Overseas disclosure
We are not generally likely to disclose personal information to overseas recipients except where required for our services, screening, IT, cloud support or contractual obligations. We take reasonable steps required by the APPs before disclosing personal information overseas, unless an exception applies.
Communications and direct marketing
We may contact you by email, phone, SMS or other means about recruitment, contract opportunities, services, onboarding, screening, compliance or business matters.
We may also send relevant service updates or opportunity-related communications. You may opt out of marketing communications at any time by contacting us. We do not use sensitive information for direct marketing without consent.
Access and correction
You may request access to, or correction of, personal information we hold about you by contacting us.
We will respond within a reasonable period. We may refuse access or correction where permitted by law, including where disclosure would affect another person’s privacy, prejudice screening or security processes, reveal confidential evaluative information, breach a contract or legal obligation, or otherwise be unlawful.

If we become aware of a suspected data breach involving personal information, we will assess and respond to it promptly. Where required under the Notifiable Data Breaches scheme, we will notify affected individuals and the OAIC. The OAIC describes a notifiable data breach as one likely to result in serious harm.
